1. Information We Collect

Personal Data: We collect your name and email address provided by our authentication provider (Clerk) to operate your account and provide customer support.

Document Data: When you upload PDFs or Word documents to the Knowledge Base or RFP extractor, the text is temporarily processed in memory and stored in our secure database to provide the Service. We do not permanently store the raw files themselves.

2. How We Use Your Information

We use your information solely to provide and improve the RFPClarify service, process your subscriptions via Stripe, and communicate with you regarding your account.

3. AI Processing & Third Parties

To provide the AI features, text extracted from your documents is sent to OpenAI's APIs. RFPClarify has a strict zero-data-retention policy configured with OpenAI. OpenAI does not use your data to train their models, and data is deleted from their servers immediately after processing.

4. Data Security

We use encryption at rest (AES-256) and in transit (TLS 1.3) for all database connections and API calls. Access to your data is strictly restricted to authenticated users within your specific Organization.

5. Data Deletion

You can delete your Knowledge Base documents and RFPs at any time via the dashboard interface. If you wish to completely delete your account and all associated data, please contact support@rfpclarify.com.
